The problem

Why old phone systems lose calls

The system in the comms cupboard was configured by someone who has since left, and the manual went with them. Calls still ring at an empty desk, the after-hours message quotes last year’s hours, and there’s no count of how many callers gave up.

A hosted system moves that logic out of the box on the wall and into a configuration we build with you. It sets who rings, in what order, what happens at five o’clock, and where a call goes when the office is empty. Then you get a report of every missed call.

How the switch runs

How we move your calls to the new system

Your old system keeps ringing until the new one has proven itself.

01

Audit before quote

We test your connection for upload, jitter and packet loss, and audit every line you’re paying for. This is where the fax, the alarm dialler and the forgotten copper services turn up, and they change the quote.

02

Map the flow

On paper, with you: who rings first, in what order, what a caller hears on hold, what happens at five o’clock and on public holidays. Every routing decision gets made before anything is ordered.

03

Build in parallel

The new system goes live on temporary numbers while your old service keeps ringing. Handsets arrive provisioned, staff make test calls, and we fix what the paper version got wrong. There’s always something.

04

Port and cut over

We lodge the port with your account details exactly as the current carrier holds them. A one-character mismatch means rejection and weeks of delay.

Business phone questions

Questions about switching phone systems

1800 620 449

Can we keep our numbers, and what about the fax line?

Yes. Local numbers, 1300 and 1800 all port, and we schedule the cutover for little to no downtime. One warning: don’t cancel the old service yourself, because cancelling releases the number and it can’t be recovered. Fax machines, alarm diallers and lift phones are the exception. They don’t sit well on VoIP, so we find them early and keep them on a line that suits them. If you want to upgrade the fax itself, we can move it to online fax.

Are we locked in?

It’s month-to-month, with no vendor lock-in. Handsets bought outright are yours and stay yours. If we supply them on a rental instead, that carries its own term, and we write that term plainly on the quote. If you leave, we release your numbers for porting.

What happens when the internet goes down?

Calls keep working on the mobile app. We set the diversion up in advance, so you don’t have to ring us to switch it on. If you haven’t opened the app in a while, open it. The handsets stay dark until the link or the power is back, and that part we can’t fix. Worth knowing too: 000 from a VoIP handset routes on the address registered to the service, so we keep that current.

Our calls already crackle. Won’t VoIP make that worse?

It depends on the connection, which is why we test upload, jitter and packet loss before we quote. Most bad calls trace back to a congested link, no prioritisation on the router, or handsets on Wi-Fi that should be on cable. We quote those fixes separately from the phone plan, whether it’s cabling, a PoE switch or a better service.
