The problem

What a cheap laptop ends up costing

Most fleets aren’t bought, they accumulate. A laptop from an office-supply catalogue here, a retail special there, whatever was in stock the week someone started. Six models, six warranty terms, and no record of which machines are still covered or who has the spare in the storeroom.

Then one dies on a Tuesday. The warranty turns out to be return-to-base, the invoice is in someone’s inbox, and the replacement is a fortnight away. Buying deliberately costs a little more up front and saves you the fortnight without a machine.

How an order runs

Ordering new machines

The order itself is the quick part. The build and the swap are where the time goes.

01

Spec before price

We start with what the machine has to run, including the software, the screens and the person who’ll use it, and spec to that. The quote lists model, warranty term and the lead time the distributor has given us.

02

Order and build

The order goes through distribution and we track it so you don’t have to. When it lands, the machine is imaged, patched, joined to your Microsoft 365 tenant and loaded with your standard software, all before anyone at your office sees it.

03

Swap day

We move files, mail and printers across so the new desktop looks like the old one. We book the swap at a time that suits the person using the machine. Most people are back working the same morning.

04

Register and dispose

Serial, model and warranty end date go into the asset register the day the machine is delivered. The old one is wiped, the wipe recorded, and the cardboard leaves with us, which is the bit everyone forgets.

Hardware Procurement questions

Questions before you order hardware

1800 620 449

Will we pay more than buying it ourselves online?

On the sticker price, sometimes. Business-grade models with onsite warranty cost more than the retail equivalent and we don’t pretend otherwise. What you’re not paying for separately is the specifying, the build, the migration and the warranty claim two years later. If you’d rather buy the hardware yourself, we’ll still help you get the right spec and set it up.

Are we locked into one brand?

No. Lenovo is our preferred line and what we quote most often, because we know the parts and the warranty process. We also supply Dell, HP, and Ubiquiti UniFi for networking. If you’re already standardised on something else, say so. Replacing a working fleet for our convenience isn’t a good reason.

What happens when a machine fails inside warranty?

You ring us, not the manufacturer. We log the claim, deal with the vendor and arrange the repair or replacement. Whether that means a technician onsite the next business day or a box going back to the depot depends on the warranty you bought. That’s why we tell you what each tier costs before you order.

What don’t you cover?

We hold limited stock. Larger orders come through distribution, so the lead time is theirs, and we quote the figure they give us. We don’t finance hardware ourselves, but we can arrange leasing or rental finance. Repairs to ageing consumer machines we’ll usually talk you out of.

Do we have to be a managed client to buy hardware?

No. Plenty of orders are one-offs, like a replacement laptop, a new starter’s setup or a switch for the comms cupboard. The build and migration work is quoted per machine. Managed clients get the same work folded into the usual onboarding instead, which is mostly a difference in paperwork.
