The problem

Microsoft 365 left alone after the first setup

Someone set it up during a migration, took the defaults, and moved on. Three years later there are licences for people who left, files scattered across OneDrive, SharePoint and a share drive that was never switched off, and sharing links still working for a supplier you stopped using.

Nothing looks broken, so nothing gets looked at. Most cloud work is the unglamorous part: where files live, who can reach them, what you’re paying per seat, and whether your email authentication records are right. We do that part, and then keep doing it.

How a migration runs

A 365 migration, start to finish

Already on 365 and staying put? We still start with step one, then fix what the audit finds.

01

Audit before anything

We list every mailbox, every licence and every place files live, including the forgotten share drive. We also list everything that sends mail, such as scanners, accounting software and the website contact form. Migrations fail on the thing that wasn’t on the list.

02

Build it alongside

The new tenant is set up and the file structure agreed while your existing system keeps running untouched. Data syncs across in the background over days, so the final cutover only has to move the last few hours of changes.

03

Cut over quietly

Mail flow switches outside business hours, usually a Friday evening. Old mailboxes stay readable, so if anything seems missing on Monday, it’s still there to fetch. We set up passwords and MFA with each person, so none get sent around by email.

04

The mop-up fortnight

The first two weeks surface what the audit couldn’t: the phone that won’t sync, the scanner that stopped emailing, the one login nobody documented. We stay on it until the list is empty, then hand over the documentation.

Cloud Services questions

Questions about Microsoft 365

1800 620 449

Won’t this cost more than the server we already own?

Usually the monthly bill goes up and the capital bill goes away. A server is a large payment every five to seven years, plus power, backup and the risk it dies at an inconvenient moment. Cloud is a known per-user cost each month. If your server is two years old, moving now rarely pays for itself, and we’ll tell you so.

If we leave, who owns the tenant and the domain?

You do, in both cases. The tenant is created under your business, the domain stays registered in your name, and the global admin credentials live with you. We work through delegated access alongside them. If you leave, we hand over the documentation and remove our access, and your next provider carries on without rebuilding anything.

What happens when Microsoft itself goes down?

Nothing we do makes Microsoft come back faster. What we do is work out quickly whether the fault is theirs or yours, tell your staff which it is, and put a workaround in place if one exists. Platform outages are rare and short; misconfiguration on your side is the more common cause, and that one we can fix.

What don’t you cover?

We don’t write software, and we don’t take responsibility for line-of-business applications built by someone else. We’ll deal with their vendor on your behalf, but they own the code. Microsoft’s retention settings are not a backup, so protecting 365 data is a separate service. We support Google Workspace, but most of our depth is in Microsoft 365.

Our 365 was set up badly by someone else. Do you start again?

Almost never. A tenant that was set up carelessly can usually be corrected in place, with licensing tidied, sharing tightened and files moved into a structure that makes sense. Rebuilding means a second migration and a second round of disruption, so it’s a last resort. We’ll say plainly which one yours needs once we’ve looked.
